Administrative Assistant
Title:Administrative Assistant
Location:Ft. Lauderdale
This individual reports to the C.E.O. and is responsible for providing administrative support.
  • Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone, route calls and take messages.
  • Assist staff with administrative duties as requested.
  • Assist and compile statistical information for C.E.O. as requested.
  • Develop and maintain agency inventory system.
  • Distribute incoming mail and prepare outgoing mail including bulk mail.
  • Maintain desk area, keeping it clean and free from clutter.
  • Type and word process documents as needed.
  • Produce mailing labels and reports as requested.
  • Assist with various program operations as requested as responsibilities permit.
  • Other duties as assigned.
  • Manage and maintain executives’ schedules
  • Prepare responses to correspondence containing routine inquiries.
  • Prepare reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database or presentation software.
  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  • File and retrieve corporate documents, records, and reports.
  • Strong written and oral communication skills.
  • Ability to work independently and as a team.
  • Typing skills with at least 50 WPM.
  • Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
  • Knowledge of general office machines and telephone system.
  • High degree of discretion dealing with confidential information.
  • Ability and willingness to work some early mornings, evenings and weekend days.
  • Ability to travel for short business trips.
  • English Language:Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
